Survai

Security and KVKK

A platform designed for privacy and data security

With access permissions, data processing controls and reporting rules, Survai helps organizations manage their feedback data. On this page, we explain our approach to hosting, AI and personal data processing.

Animation of removing personal data before sentiment and theme analysis (sample data): the email address and phone number in an open-ended response are masked before anything is sent to AI; the cleaned text goes to Azure OpenAI in the EU data zone (Sweden, Sweden Central), and only a sentiment and theme label comes back.

Screens are illustrative; data is sample data.

Layers of protection in the product

Anonymity

Rules for displaying results for small groups

In anonymous surveys, no link between a response and the person is stored. In analytics screens, comparisons and the PDF report, groups with fewer than 5 responses are hidden on the server side; Ask AI also uses only these masked, aggregated results; and in anonymous surveys, values that fall into these groups are also hidden in the response list, exports and the REST API. These rules reduce the risk of identification but cannot prevent every case on their own.
  • If filters narrow down to a group with fewer than 5 responses, results are not shown
  • In anonymous surveys, values that fall into a small group become “Hidden (<5)” in CSV / XLSX and the REST API
  • Anonymous responses are not included in personal data exports
Department heatmap animation: cells for participation, satisfaction, eNPS, workload and manager support are colored for Sales, Operations, Information Technology, Human Resources and Finance; low values stand out in Operations and Finance. The Legal (4 responses) and Strategy (3 responses) rows are hidden because they have fewer than 5 responses. Sample data.

Data subject requests

Keep track of data subject requests

See a person’s consent history with timestamps, export their data as JSON or CSV, and irreversibly anonymize the person on an erasure request.
  • Consent history
  • Personal data export
  • Anonymization confirmed by typing the name
KVKK requests animation: the participant's profile shows their KVKK consent history; their personal data is exported as JSON; an erasure request is then confirmed and the person is anonymized as 'Deleted participant', while their responses stay in the statistics without any identity attached.

Access

Manage access permissions by role

Owner, Admin, Editor, Analyst and Viewer roles; when needed, give a person access to specific surveys only.
  • 5 roles
  • Per-survey access
  • Raw response and export permissions depend on role
Roles and access animation: the team list shows the Owner, Admin, Editor and Viewer roles; Sophie Reed's role is changed from Editor to Analyst and her permission list updates: editing the flow is turned off, while analytics, responses and export stay on; she is also given access to specific surveys only.

Security measures

  • Data location

    • In the cloud deployment, all application data, files and AI processing are kept in the Microsoft Azure Sweden (Sweden Central) region, within the European Union.
    • Database backups are copied to the paired region within the EU (Sweden South); email service data is stored in the European data location.
    • AI calls are processed within the EU data boundary using an Azure OpenAI “Data Zone” deployment.
  • Encryption

    • All traffic runs over HTTPS with TLS 1.2 or higher; HTTP requests are redirected to HTTPS.
    • The database, file storage and cache are encrypted at rest with Azure-managed keys.
    • Organization secrets such as SMTP passwords and OAuth tokens are additionally encrypted at the application layer with AES-256-GCM; infrastructure secrets are kept in Azure Key Vault and accessed by services via managed identity.
  • Tenant isolation

    • Each organization’s data is separated with PostgreSQL Row Level Security: the application runs with a restricted database role that can only see the rows of the organization in the current session.
    • In addition to RLS, queries are explicitly filtered by organization ID; administrative operations run under a separate role and a separate session.
  • Authentication and access

    • Passwords are hashed with argon2id; minimum 10 characters, with uppercase and lowercase letters, a digit and a special character.
    • Sessions use httpOnly cookies; rate limits on login and password reset endpoints.
    • The Survai admin panel runs on a separate domain, with mandatory two-step verification (TOTP) and support for IP restrictions.
    • Within each organization, Owner, Admin, Editor, Analyst and Viewer roles and per-survey access permissions.
  • Audit log

    • Customer account, limit, user, invitation and survey actions are logged with the date, person and action.
    • Logs are kept in the Survai admin panel; they can be filtered and exported as CSV.
  • Backup and continuity

    • The production database runs with zone-redundant high availability; 35-day point-in-time restore and geo-redundant backups.
    • File storage is protected with geo-zone-redundant storage (GZRS), versioning and 30-day soft delete.
    • Applications run as at least two instances across multiple availability zones.
  • Network and edge security

    • In production, the database, cache, file storage, key vault and AI service are accessed through private network endpoints and are not exposed to the internet.
    • Web application firewall (WAF) on Azure Front Door: Microsoft default rule set, bot management and rate limiting.
    • Uploaded files are scanned for malware with Microsoft Defender for Storage.
  • Anonymity and data minimization

    • In anonymous surveys, no link between a response and the participant is stored.
    • Groups with fewer than 5 responses are not shown in analytics screens, comparisons, the PDF report or Ask AI.
    • In anonymous surveys, values such as department, location or job title that fall into a group with fewer than 5 responses are shown as “Hidden (<5)” in the response list, CSV / XLSX exports and the REST API; these surfaces are also available only to authorized roles and API keys.
    • On a participant erasure request, personal data is anonymized; responses remain anonymous for statistical purposes only.
  • Data processing controls for AI

    • Only masked, aggregated results are sent to Ask AI; no sample response text, names or email addresses are sent.
    • In sentiment and theme analysis, open-ended comments are sent to the model after email addresses, phone numbers, ID and employee numbers, links and participant names are removed by automated rules.
    • Only Microsoft’s first-party Azure OpenAI Service is used; access is via managed identity rather than API keys.
    • Microsoft commits not to use customer data sent to Azure OpenAI to train models.
    • AI can be turned off per organization; drafting, suggestions and Ask AI are limited by a monthly quota.

KVKK

Compliance, together with your processes

Your organization is the data controller. Survai builds tools into the product that make it easier to meet your obligations under KVKK (Turkish Personal Data Protection Law No. 6698).

  • Privacy notice and consent

The survey welcome screen shows the data controller, the data processed, the purpose, the retention period and data subject rights; if consent is required, the survey can’t be started without it.

  • Data subject requests

In the participant detail view: consent history, data export as JSON/CSV, and erasure (anonymization) requests.

  • Cross-border transfer

Because Azure has no region in Turkey, the cloud deployment constitutes a cross-border transfer under Article 9 of KVKK. We plan the necessary contract and notification processes together with your organization; for organizations that need to keep their data in Turkey, we plan an on-premises deployment together.

  • Data processing agreement

Survai acts as a data processor with respect to its customers’ survey data; roles and responsibilities are defined in the agreement.

About certifications

Survai runs on Microsoft Azure infrastructure, which holds international compliance certifications; Azure’s documentation is available through the Microsoft Service Trust Portal. These certifications are not Survai’s own. Contact us for current information on Survai’s independent audit and certification processes.
